Data Protection
All data is backed up daily, with 30 days of backups maintained. Both data and backups are encrypted while in transit and at rest using AES-256 encryption. Our recovery point objective is currently 24 hours.
Cloud Infrastructure
All of our infrastructure is serverless, allowing for infinite scaling to handle any type of workload. We undergo annual penetration testing, and have firewall services in front of the load balancer to prevent most common attacks.
Artificial Intelligence
No customer data is used for model training. We use generic large language models and our own data to train the models.

Frequently asked questions

Is there any risk of all my processes being lost or deleted?
The risk of losing your content is very low. KnowHow backs up all system data every day, and stores backups for 30 days. This ensures that if anything were to break in the system we can quickly retrieve your content from the last day’s backups to ensure your work isn’t lost. All the backups are stored in S3 and are encrypted using a key that you provide. This encryption protects your data both at rest (in S3) and in transit (when the data is backed up or restored).
If I choose to stop using KnowHow is there any way to export my content?
Yes. You can select any of your processes and export them into a printable PDF to save as a hard copy. This is limited to the unique content you have created. Content that originated from a KnowHow Template, or from a Vendor Partner’s Template cannot be exported. You cannot simply export KnowHow’s template library content. Please refer to our Terms of Use for additional information.
Where is my information stored, and is that location secure?
All data from KnowHow is stored in databases housed by Amazon Web Services. AWS is one of the most trusted names in web hosting, you can read more about AWS Security here.
How is my Credit Card information protected?
KnowHow does not store your credit card information. All Credit Card handling is provided through Stripe and HubSpot, the same processing platform that powers companies like Target, Lyft, Under Armour, Shopify, and more. KnowHow will never store your credit card information. For more on Stripe’s security, click here.
Who can see my staff’s email addresses?
KnowHow software engineers are given access to user emails on an “as needed” basis in order to resolve customer service issues, develop new product insights, or work on software bugs our users might be experiencing. KnowHow Customer Success team members can also see your staff’s email addresses as part of our support activity monitoring and in-system live chat support. Outside of KnowHow staff, nobody can see your staff’s email addresses except for users in your KnowHow organization with the ‘administrator’ status (these settings can be modified to include other team members too, if you so choose). Every KnowHow staff member signs a strict confidentiality and non-disclosure agreement.
Does KnowHow conduct system penetration testing?
Yes, we conduct routine penetration testing by a trusted third-party service provider. We have a strong track record of low concern results, and addressing issues promptly.
Is my content in KnowHow accessible to other KnowHow customers in any format?
No. Any content you add to your KnowHow Hub is secure and only accessible to those parties to provide access. KnowHow’s AI features do not draw on your content to deliver any services to other KnowHow customers. Part of KnowHow’s value proposition is to provide you with a secure, standalone knowledge base.
Can any of my competitors access my content in KnowHow such as my processes?
No. Only people that you invite into your organization on KnowHow will be able to access your processes. Furthermore, within your team, you have the ability to restrict access to content from certain individuals with our advanced privacy settings.
If I fire someone, can they still access my processes?
You have full control over who has access to your KnowHow Hub. Once you remove somebody from your KnowHow organization, they can no longer access any of your content. In addition, no copy of your processes remains on their devices after you have removed their access. When you delete their access to your system, the processes they contributed to your company’s KnowHow Hub become the property of the company and are reassigned to the system administrator in your organization that removed that employee.
What risk is there of my staff information being leaked or hacked?
At KnowHow, we require our software engineers to use two-factor authentication to access all of our code and databases. All data backups on KnowHow and login information are heavily encrypted using the PBKDF2 algorithm recommended by NIST. While no business can guarantee 100% protection from leaks or hacks, KnowHow is following all industry recommendations and best practices to protect your data. KnowHow does not outsource any of its software development, everything is completed securely in-house.
How is my content secured from other KnowHow users?
Every KnowHow organization is its own “hub”, and is completely inaccessible to those who haven’t been granted explicit permission to see your organization’s content by you. Users who have not been given access to your organization are unable to log in and will be unable to view any of the content inside your KnowHow Hub.
Is KnowHow SOC2 compliant?
KnowHow is on schedule to achieve SOC 2 compliance by or before the end of Q2 2025.
